What we’re looking for

Mission of the Role:

The Military Records Specialist will be responsible for ensuring the full circle of Military records keeping, especially maintaining accurate and up-to-date employee military records based on the labor law.

Key Responsibilities:

  • Running military records of conscripts, military obliged and reservists, reservation of conscripts by enterprise in peacetime and for the period of mobilization and wartime.

  • Checking whether new hired persons have military registration documents and whether they are on military registration at their place of residence.

  • Informing the conscripts, military obliged and reservists regarding their compliance with the rules of military registration under personal signature upon hiring. Conducting explanatory work among conscripts, military obliged and reservists regarding their compliance with the rules of military registration. 

  • Notifying conscripts, military obliged and reservists, at the request of the Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service, of their summons to the relevant Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service, and ensuring their timely arrival.

  • Submitting to the relevant Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service, upon their request, information and reports on conscripts, military obligors and reservists whose personal military records he/she keeps.

  • Maintaining lists of personal military records, ensuring the completeness and reliability of the accounting data entered into these lists. Periodically verifying the data of the lists with the accounting documents of the relevant Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service in which they are on military records.

  • Referring to the relevant Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service for exclusion from military records of conscripts and reservists within seven days from the date of their reaching the maximum age for being in the reserve to the relevant Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service.

  • Submitting to the director of the enterprise for approval schedules for verifying the accounting data of the lists of personal military registration with military registration documents and carrying out such verification.

  • In the event of receiving orders from the relevant Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service units regarding the notification of conscripts, military obliged, and reservists about their call to the Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service units:

— preparing a draft order on the notification of conscripts, military obliged, and reservists;

— ensuring that it is brought to the attention of such relevant persons under personal signature in the part concerning their arrival at the relevant Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service units within the time limits specified by it;

— sending a copy of the order (orders) within three days to the relevant Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service units;

— ensuring the delivery of summonses to conscripts, military obliged and reservists to appear on call at the Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service units (if available);

— preparing a written notification with extracts from orders to the relevant Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service units (if available) about persons from among conscripts, military obliged and reservists who are temporarily unable to work, are on vacation or on a business trip;

— ensuring control over the results of the notification and the arrival of conscripts, military obligors and reservists to the relevant Central Military District and the Joint Service, Security Service of Ukraine, and units of the Foreign Intelligence Service units (if available).

  • Maintaining and storing the Log of the results of checking the status of military registration of conscripts, military obliges and reservists at the enterprise.

  • Preparation of a draft order on the status of military accounting for the past year and tasks for the next year based on reports, results of measures taken and inspections of the status of military accounting in the past year in accordance with competence.

  • Communication with the Central Military District on a regular basis.

Core Capabilities & Skills:

  • State-standard certificate of training in the Rules of Military Accounting according to the program approved by the General Staff of the Armed Forces of Ukraine

  • High level of responsibility

  • Good communication skills

  • Ability to process big data sets

  • Strong organizational and multitasking abilities

  • English knowledge on pre-Intermediate level would be a plus
